Data Inventory

The Data Inventory is located under the Emission Management module and serves as the main working area where all data transferred to Carbondeck is prepared for emission calculations and managed.
The data available in this section consists of records imported into the system via the AI Data Upload and Integration methods through the Data Entry+ module.
Data Review – Uploaded Data
Within the Data Inventory, the Data Review section contains the Uploaded Data tab.
In this tab, all raw data transferred to the system is listed in the Upload Results table.
For each record, the following information can be displayed:
Data detail (extracted activity description)
Status (AI reading and matching status)
Upload date
Method (Activity Based / Spend Based)
Activity amount
Activity unit
Document name and document number
Facility
Region
Activity period
Supplier
Paid amount and currency
Options (edit / delete)
All information extracted by AI can be reviewed and edited by the user when necessary.
Statuses and Checks
For each data record, the Status field displays AI notes and extraction results. Through this field, users can monitor:
Fields identified by AI as missing or incorrect,
Items requiring manual review,
Whether the data is ready for emission factor matching.
Records with no identified issues are assigned the Ready for EF Matching status.
This status indicates that the data is ready to be matched with an emission factor.
Data Editing and Deletion
To edit a data record:
Select the checkbox at the beginning of the data row to edit metadata,
Update fields such as Facility, Supplier, Activity, and Region/Period,
Delete the selected record if required.
Additionally, by clicking the three-dot (… ) menu at the end of the row, users can review and update extracted data details. The following fields can be edited:
Data description
Category
Facility
Method
Scope
Activity amount
Activity unit
Paid amount
Currency
Region
Document number
Activity period
Supplier
Emission Factor Matching
After selecting records with the Ready for EF Matching status, click the Match with AI button located at the bottom of the page. As a result:
AI identifies the most appropriate emission factor for the activity data,
The data is moved to the Matched Data tab.
In the Matched Data tab, the emission factor selected by AI is displayed. If needed:
The emission factor can be changed via the three-dot (… ) menu,
An alternative emission factor can be selected manually.
Calculation and Approval Process
Once emission factor matching is completed and the data is reviewed, select the relevant records and click the Calculate button. This action:
Includes the selected data in emission calculations,
Transfers calculated results to the Results section,
Displays the records under the Approved Data tab as well.
After this step, the records are ready to be used in reporting and analysis processes.
Data Inventory – Uploaded Documents
The Uploaded Documents tab is the central area where all documents uploaded to the system are displayed within the Data Inventory module.
This section includes:
Documents uploaded via AI Data Upload,
Documents automatically transferred through Integrations (e.g. e-Invoice, ERP, accounting systems),
Files uploaded via Standard Upload using Excel templates.
For each document, the following information is displayed:
Document name and file type,
Upload status (Processed, etc.),
Upload date,
Uploaded by (this field may be empty for documents received via integrations),
Number of calculated and non-calculated data records.
Documents can be deleted from the system using the Options (… ) menu.
Deleted Data
The Deleted Data screen displays documents and related data records that were previously available in the Data Inventory but were later deleted.
In this section, users can track:
Deleted documents and their extracted data,
Deletion dates and data details,
The upload method through which the data was created (AI, integration, standard upload).
Using the Options menu:
Deleted data can be restored, or
Permanently removed from the system.
When a data record or document is deleted, all emission values calculated based on that data are also removed from the system. Therefore, the impact of deletion on calculation and reporting processes should be carefully considered before performing this action.
